How to get more out of Microsoft Teams

What is Teams

Microsoft Teams enables managers, working groups and individuals to easily keep in contact with each other and supports text conversations, instant messaging, video chats and meetings.  It also supports collaborative work with document sharing and real time editing by multiple users.

Overview of features

Features that will help you stay connected with your team include:

  • Easily manage your team’s projects with file editing and sharing
  • Connect face-to-face with HD audio and video and join meetings from almost anywhere
  • Chat privately or in small groups with the Chat feature or broadcast to your entire Division or Branch in the teams section. (At this stage Teams will only be available at the Division and Business Unit level)
  • Mention individual team members, or the whole team at once to get your colleagues attention with alerts
  • View Free/Busy time of your colleagues with the coloured dots that we are familiar with in Outlook and Skype for Business

While Teams is an intuitive platform and very simple to use, the following resources are available to help guide and develop your Teams skills:

Self-training

Teams Quick Start Guide This provides an overview of the Teams home page. It explains the basic features and contains links to short Microsoft training videos.

CIS Advice Sheets This link will lead you to a document that you can download showing an index of the available CIS Advice Sheets.  It may appear as a large View Downloads screen or a small tile/icon at the bottom left-hand of your screen.  CIS Advice Sheets are concise instructions for frequently used functions and features within Teams.

Teams Champions

Teams Champions have received training to support your Business Unit. Teams Champions are defined as those within your Division and Branches that have received additional and specific Teams training and have been granted elevated management control over your Teams site.

Teams Champions will:

  • Be Owners of organisational Teams (Owners are Teams administrators)
  • Be able to create new Channels (Discussion rooms within Teams)
  • Support their Business area in Teams use
  • Be supported by the Corporate Information Services (CIS) support team

Please contact your Teams Champion if you are unable to resolve a Teams issue using the self-training resources.  View a list of Champions.

The implementation of Microsoft Teams across the Department has been undertaken as a fast tracked process in response to the new remote working arrangements.  The Teams structure has been restricted to the creation of teams only at the Divisional and Branch levels.  Additional ‘Channels’ within these teams can be created as required by business areas.
